Leader’s Guide
Note: Generally, Leader’s Guides are not full proofed unless specified — only proof tracked changes unless otherwise specified by your designer.
- Follow the design proofing process for legacy materials.
- When checking formatting/styles, make sure to use the correct Second Edition formatting/styles.
- Update all workbook (WB) page references during the last round of edits before sending the document out for cross check.
Handbook
Note: Generally, Handbooks are not full proofed unless specified.
- Download the appropriate InDesign file from the Products Library.
- Save the file to your desktop in a well-defined folder location.
- Determine if A4 or US pages need to be removed from the file.
- Add the client’s logo to the cover page.
- Update title of the handbook, if needed.
- Remove placeholder pages if using the Basic Need Dialogue (BND), or replace the placeholder pages with the Strategic Need Dialogue (SND).
- Remove pages and/or add in supplemental content, as requested in the Leader’s Guide.
- Edit any text, as requested in the Leader’s Guide.
- Do globals.
- Update copyright year, if needed.
- Check formatting.
- Are any of the text/images cut off (which may have happened while editing text/running globals)?
- Are all of the correct page masters applied?
- Are there any errors in the file?
- If both the US and A4 handbooks are in the same file, did all of the linked text update? Did it ruin any formatting (this would most likely happen in the A4 handbook after updating the US handbook)?
- Check pagination.
- Spell check.
- Update or add code to the bottom of the last participant page (including date and version number: MM.DD.YY/DESIGNER INITIALS/da initials v.___).
- Designer initials should be CAPITALIZED.
- ES initials should be lowercase.
- Follow spacing and punctuation exactly as is on the above example.
- Save the file.
- Upload the file to SharePoint, and check it in.
- Cross-check: If the handbook is ready to be cross-checked, PDF the file, print in color, and send out for cross check to another ES.
Workbook
Note: Workbook exercises are always full proofed.
- After the Leader’s Guide has been finalized, copy and paste all of the participant workbook pages into a sample workbook document.
- You can download a sample workbook from the appropriate program folder in the Products Library.
- You can determine which pages are participant workbook pages by doing a search-and-find for the term “WB.”
- Add the client logo.
- Match the title to the Leader’s Guide and Handbook.
- Check/set margins.
- Check styles. (Only make sure that appropriate styles are there. If they are not, ask another ES to help you. Do not pull the styles in again from scratch as your first option.)
- Check formatting on each page (including looking for any pages that might be landscape pages, all styles are correct on the page, section breaks are on and are visible on each page, spacing between bullets and dashes, correct background images being used, correct copyright year, black bold to normal emphasis, etc.)
- Check headers to make sure that they are linked/unlinked correctly.
- Check footers to make sure that they are linked/unlinked correctly.
- Check pagination (set/adjust, where needed)
- Do globals.
- Spell check.
- Add code to the bottom of the last participant page (including date and version number: MM.DD.YY/DESIGNER INITIALS/da initials v.___).
- Designer initials should be CAPITALIZED.
- ES initials should be lowercase.
- Follow spacing and punctuation exactly as is on the above example.
13. Lock the document by setting the editing restrictions to only allow tracked changes.
14. Save the document.
15. Check in the document.
16. Cross-check: If the document is ready to be cross-checked, send out to another ES for an on-screen cross check.
