Update a user/s Organizational Group, Territory, User Group

User data can be updated manually or via an import. The import option should be used with caution and only be utilized where more than 100 users are involved - if anything else is accidentally changed on the imported file it will be reflected in the tenant (e.g. the User Group column is cleared out - this would remove all users from their existing User Groups).

 

Option 1 - Manual - individual user

  1. Navigate to the item the user is to be removed from.
  2. In the Users panel, locate the user.
  3. Tick the box beside their name then click Remove Selected. 
  4. Navigate to the item the user is to be added to.
  5. In the user panel, click Add Users.
  6. Search/locate the user.
  7. Tick the box beside their name then click Add Selected User.

Use Case: a user needs to from the August User Group to the September User Group

 

Option 2 - Manual - multiple users

  1. Navigate to the Users List page.
  2. Click the arrow beside the Search box to open the Advanced Search options.
  3. Use the applicable filters to narrow the search and click the magnifying icon when done.
  4. From the returned list of users, select all that need to be updated; either individually or select all by clicking the box beside the Name column header.
  5. Click Bulk Edit and use the filters to select the new information for the users. Note that there is not an 'undo' action so be sure the selections are correct. Incorrect updates would need to be done manually.
  6. Click Save. The users have now been removed from the original item and added to the new item.

Use Case: 10 users need to move from the Parts Organizational Group to the Services Organizational Group

 

Option 3 - Import

Please reach out to the Senior Admin before proceeding with the below.

  1. Go the Users List and export the users.
  2. On the exported file, delete all users who do not need to be updated.
  3. Replace the information in the applicable column: Org Group, User Group, and/or Territory.
    • If the information is new, the same information will need to be added to the applicable sheet (Org Group, User Group, Territory).
      • Use Case: 50 users need to be moved to the Nonprofit org group. In the Org Group column for the applicable users, replace the data with 'Nonprofit' then add 'Nonprofit' to the org group sheet (set a parent org group if needed).
    • If the information is additional, click into the data column for the first user and put a comma after the existing data then enter the additional information. Add the new user group to the User Group sheet.
      • Use Case: 30 users in the CSS Launch June 2022 user group need to be added to the Coaching October 2022 user group. In the User Group column, add the additional user group so the cell says 'CSS Launch 2022, Coaching October 2022'. Now add 'Coaching October 2022' to the User Group sheet.
  4. Go the Users List and perform the Import process.
