NetSuite Sales Order Integration - Expiring Users

 Client tenants are connected to their Sales Orders in NetSuite. This will allow CSG to expire users' access when their access term is over.

 

The Accelerate Admin team will add all current Sales Orders to the Client tenant, and the CEC team will assign the Sales Order upon the users’ enrollment (or launch) into a course by selecting the correct sales order as seen below. Please contact [email protected] if you need a Sales Order added that is not there. 

 

 

To update already enrolled users with a Sales Order, please follow the steps below:

  • Navigate to the correct course under the Learning tab
  • Apply filters such as a User Group by using the “Search For” function, or by individual users manually, to update their enrollments, then click Edit

 

 

  • Select the correct Sales Order as seen below. If you manually enter an expiration date, the user will expire on that date. If you do not update the date, the user will expire automatically when the Sales Order expires:

 

In the Users panel, the enrollment information will update to one of the following for each enrolled user: 

  • E = Enrolled
    • This means the user is enrolled in the course, can log in (if set to active), and can access the Today, Learn, Practice, Apply, and Results pages.
  • U = Unenrolled
    • This means the user is removed from the course, can log in (if still set to active), but cannot access the course.
  • X = Expired
    • This means the user’s course is expired, but they can still log in (if set to active), and can access the Results page for the expired course.

*Inactive users that are not removed from the course will be grayed out and unable to select. If a user is inactive but still enrolled in the course, they will need to be re-activated first before you expire their access.

 

 

Expired User View

Expired users can log in, and will see the message below if they are only enrolled in one course that has now expired. They can also navigate to the Results page to see the results of their expired course. 

 

 

Users whose enrollment status has expired, will not be sent the following emails for the expired course. If they are actively enrolled in other course/s, they will continue to receive notifications applicable to those courses.

  • End of Course Survey
  • Final Assessment Locked
  • Final Assessment Unlocked
  • Inactive Status Trigger
  • Item Unlocked

Users who are expired will still be able to receive password reset email and account unlock instructions.

 

Manager User View

Users who have been assigned as managers will see their team members' Enrollment Status as "Expired" on their Coach page. 

 

 

Client Admin User View

Those users assigned as Client Admins will see the following view:

  • Orange Label for Expired Users
  • Enrollment Expired filter on dashboard to show only expired users
  • Organization Report will also include expiration information
  • Unenrolled does not show on Client Admin Dashboard

 

 

 

Unenrolling vs. Expiring a User

Unenroll: Unenrolling a user from the course allows the user to log in, but their access to the course and results page is removed. If Users are unenrolled and then re-enrolled (back in the same course version as previous), their data will be unchanged, and they will return to the last module they completed.

 

Expire: Expiring a user’s access allows the user to log in and see the results page, but their access to the course is removed.
