Options for Removing Users

Below you will find options for removing users from a course or from the Accelerate Learning in general:

 

 

Unenrolled

  • This means the user is removed from the course, can log in (if still set to active), but cannot access the course.
  • They will not be visible on the Client Admin dashboard, and do not show on the Organization Report
  • If Users are unenrolled and then re-enrolled (back in the same course version as previous), their data will be unchanged, and they will return to the last module they completed.


Expired

  • This means the user’s course is expired, but they can still log in (if set to active), and can access the Results page for the expired course.
  • Expiration applies to the course level, so this only affects the course they are expired in (not any other enrollments).
  • Users' expiration dates are tied to Sales Order expirations in Netsuite and users expire automatically at midnight EST (so they have access for the entire last day of the SO). 
  • They will be visible on the Client Admin dashboard as “Expired” on the client admin dashboard, and shows on the Organization report as expired
  • If Users are expired and then added back into the course, (back in the same course version as previous), their data will be unchanged, and they will return to the last module they completed.

 

Inactive

  • Users are unable to log into the system after being inactivated.
  • Users that are not removed from the course will be grayed out and unable to select within the course.
  • They will not be visible on the Client Admin dashboard, and does shows on the Organization Report as "deactivated" in Activity Status (column N)
  • If a user is inactive but still enrolled in the course, they will need to be re-activated first before you expire their access or make any course updated. If a user is inactive, their enrollment status will not change.

*All of these options will still allow you to add the user back into the course, and keep them active in the system. This option would be helpful if that user may be added back into a course at any point so that license is not wasted.

 

Anonymize

  • If you are certain that the user will not be reenrolled at any point—the user can be anonymized.  
  • This means that their license will remain in the system and reporting for tracking purposes, but the user’s information (email, name, etc.) will become anonymous.
  • Anonymized users will be visible on the Organization Report
  • This can only be done by Accelerate Super Admins. Please email [email protected] and [email protected] with the name and email of the users that need to be anonymized. 

 

Delete

  • If you are certain that the user will not be reenrolled at any point, and the license should NOT be counted, the user can be deleted entirely from the system. 
  • Users are unable to log into the system, their course progress will be erased entirely, and will not be visible on any reporting or dashboards. 
  • This can only be done by Accelerate Super Admins. Please email [email protected] and [email protected] with the name and email of the users that need to be deleted.
