**IMPORTANT UPDATE FALL 2024**

The following Sales Order Items - Workshop Delivery [COMM], Design Services [COMM], and Real Deal Coaching [COMM] - automatically default to a Parent Project upon creation.

 

When any of these Items has a Quantity of 1 on the Sales Order, the Parent Project process is still applied, resulting in the creation of a single Child Project with a Quantity Consumed of 1.

 

 

This article provides an overview of a Parent Project in NetSuite and outlines the steps to set it up before creating Child projects and resourcing.

Things to Know about Parent Projects: 

  • Primary Information Section: Parent Projects will be labeled as “Parent” under the Project name. 

  • Order Information Section: This is a new section added to all NetSuite projects: 

    • Includes contract start/end dates and other general Sales Order (SO) information (similar to what you would typically see at the top of the SO in NetSuite). 

    • SO Parent Quantity: Represents the total number of contracted days/hours (only updates on the Parent Project). 

    • Allocated to Date: Indicates the number of days/hours assigned or allocated to child projects (only updates on the Parent Project). 

    • Available for Use: Shows the number of days/hours remaining or still available for use (only updates on the Parent Project). 

 

 

  • Child Projects Tab: This new tab (located at the bottom of the page next to the Schedule & Resources tab) allows you to: 

    • View all projects associated with each Parent project. 

    • The view in this tab defaults to “Job Default”; we recommend changing the view to “Child Project View” for a more detailed overview (including facilitator name, quantity consumed, status, etc.). 

    • Child Project numbers are clickable and will open into a new tab. If you click edit, the Child Project will open in a pop-up window.  

 

 

 

Setting up a Parent Project: 

To set up a Parent Project, follow these steps: 

  • Project start/end days: Change to match the contract start and end dates. 

  • Status: The Parent project will default to “Unscheduled”. 

    • Change to “Parent – In Progress” once you begin creating child projects and allocating resources for these days/hours. 

    • Change to “Parent – Complete” once all days/hours have been consumed or at the end of the SO term when “closing out” the SO. 

 

Helpful Tip: Make note of Parent Project numbers as they are required for creating child projects and fulfillments.
