Breakout Room Capabilities
ØThe Producer & Facilitator have the ability to create Breakout Room Assignments
ØThere are no camera/video capabilities in the Breakout Rooms, only audio
ØThe Host & Presenter can “Open Breakout Sessions” and “Close Breakout Sessions”
ØBest practice: ensure you know how many groups/teams you will have and who should be in which group/team prior to the training session
ØBest Practice: Check the Breakout Session Assignments right before opening the sessions
ØIf someone has been bumped out of the session assignment list they will not be able to join once the sessions have been opened
ØBest Practice: Create Breakout Session Assignments as soon as all participants join the session
ØHave a list of the Breakout Team Members for future reference
ØOnce the person who will take notes / update the templates they work on per team is identified, be sure they are the “Presenter” within the Breakout Rooms (they need to be added as the first one in the breakout room)
ØEnsure Presenter capabilities by adding the “scribe” into the Breakout Session Assignment list first
ØOnly the “Presenter” can share their screens/presentations in the Breakout Rooms
ØOnly the Host can “Broadcast a Message” to participants while in the Breakout Rooms
ØThe Host & Producer can jump in and out of the Breakout Rooms by clicking “Join”
ØParticipants can click the “Ask for Help” button which will send a message to the Host asking for them to join the Breakout Room
ØThe Host can click “End the Breakout Sessions” which will send a message to all participants with a 30 second warning
ØRemind participants to turn ON their video when they return to the main group
